Executive Assistant

Job Description

We are looking for a master multi-tasker capable of juggling ever-changing priorities with grace and professionalism. This role is responsible for the office administration along with executive support. The right candidate will be a key player that ensures team coordination, stays abreast with the industry trends and best practices, provides excellent executive support, makes office operations more efficient and serves as a point of contact for vendors, visitors, and other outside contacts. Excellent communication skills and an upbeat attitude are a must.

Job Duties

Manage CEO’s calendar and travel

Manage Rolodex including company executives and CEO

Manage CEO memberships and expenses Office management

Improve efficiencies by implementing new and relevant processes and software

Assist with billing and account receivables

Process/approve expense reports

Supplies procurement

Vendor management

Handle general inquiries, including incoming mail, email, calls

Greet visitors and manage validations

Support clients relationships via effective communication and appropriate engagement

File management

Assist in setting up and preparing for the internal and external meetings for the team (email calendar, dial-in setup, conference calls, zoom/web-ex etc.) as required

Travel coordination including air, hotel, rental car, meeting space, itineraries

Assist with social media management

Assist with events and team building planning

Assist with all internal and external HR related inquiries or requests

Perform orientations and update records of new staff

Other related duties as requested by the leadership

Required Skills

Bachelor Degree is required

Internet/Technology savvy

Familiarity with a the field's concepts, practices and procedures

High proficiency with MS Office (Word, Excel, PowerPoint and Outlook)

Ability to work with all levels of management

Exceptional grammar and proofreading skills

Ability to handle multiple assignments and deadlines with accuracy

Demonstrated leadership abilities and skills

Detail-oriented and proactive

Exceptional interpersonal skills and professional demeanor

Strong written and oral communication skills

High energy, enthusiasm, competitive edge, and flexibility

Self-starter and willingness to continually learn and grow

Ability to retain positive and calm attitude under pressure
